Direct answer

The short answer

Reliable dental collections begin with an accurate charge, a preserved payment ledger and a next action tied to the current balance—not with sending more reminders. Every follow-up should be able to trace back to the invoice and authorised record changes.

Key takeaways

  • Review treatment-linked and manual charges before issuing an invoice
  • Record every supported payment against the ledger that determines the balance
  • Treat corrections and write-offs as authorised exceptions
  • Reconcile totals and complex relationships, not only invoice counts
  • Contact a patient only from the current reviewed balance
02

Practical guide

Create a charge the clinic can explain

Start with the clinical and commercial event that permits a charge under the clinic’s process. Review treatment-linked lines, authorised manual lines, description, quantity, amount, discount and patient. Make sure completed care has not been omitted and planned care has not been billed accidentally. The person issuing the invoice should be able to explain where each line came from without rebuilding the history from a spreadsheet.

Define how drafts, issued invoices, corrections, cancellations and other supported states are used. If the clinic changes a charge, preserve the reason and authorised workflow rather than overwriting the old value without context. Decide how deposits, packages, discounts and other local practices will be represented during implementation; do not assume a label means the same financial treatment in every clinic.

03

Practical guide

Preserve the ledger through partial payment and exceptions

Record payment date, method, amount, reference and authorised user where supported. A partial payment should reduce the current balance while retaining the earlier invoice total and payment history. Test an attempted overpayment and a correction so the team understands validation and escalation. Payments noted in cash books, bank messages or personal spreadsheets must be reconciled before the invoice is used for follow-up.

Separate operational software from tax advice. Product fields can help a clinic retain invoice and payment information, but the clinic and its adviser remain responsible for GST treatment, invoicing obligations, records and returns. Ask which tax-related fields are available and how they appear in exports; do not infer complete calculation, filing or statutory compliance from a billing screen.

04

Practical guide

Turn the reviewed balance into accountable follow-up

An eligible collections action should show patient, invoice, current balance, ageing or due context and the source ledger. The user should open that invoice before deciding whether to contact the patient, snooze the item, dismiss it or record completion. Define suppression and consent requirements for any communication channel, and keep a message attempt separate from a payment outcome.

Reconcile daily transaction activity and review exceptions weekly. Compare invoices issued, payments recorded, reversals or corrections, unapplied items and open balances against supporting records. Sample complex accounts such as Patient 024 with completed care, one unbilled item, an earlier part-payment and a planned follow-up. Record the reason for every unexplained difference and the person who resolves it.

Use this in the clinic

Your daily collections exception ledger

Use this sheet for accounts requiring review, not as a replacement for invoices. Reference the source record rather than copying clinical details. Give each exception an owner and recheck the balance before contacting the patient.

Thirty2OS application

Use this workflow with Thirty2OS

Use Patient 024 to test the Thirty2OS path. Create or review the crown-related invoice, record a part-payment, inspect the remaining balance and try an invalid overpayment. Then open the relevant Action Engine item and check that it opens the relevant invoice rather than asking the user to search. Keep any unbilled completed-care item visible as a separate exception instead of hiding it inside the balance.

Ask which roles can create invoices, record payments, view reports and manage corrections. Test a restricted clinician and a finance or front-desk role. Confirm that communication provider and consent requirements apply before a reminder is sent. Thirty2OS does not claim complete GST calculation, insurance processing, recovery performance or accuracy where source data and authorised entries are incomplete.

07

Common pitfalls

Common mistakes to avoid

Review these with the people who book visits, record care and handle payments. Give any unresolved issue an owner and a next review date.

Review with your team

  • Recording payments outside the invoice ledger
  • Copying a balance into a reminder list without reopening the source
  • Changing an amount without an authorised reason
  • Assuming every tax treatment from a generic invoice field
  • Counting a sent reminder as a collected payment

Practical questions

Should we chase every balance in a report?

Review the invoice first. A recent payment, disputed line, agreed date or entry error may change the next step. Work from the reviewed account, not an old copied balance.

What if payment was entered against the wrong invoice?

Keep the transaction reference and identify the intended account. Use the authorised correction process and retain the reason; do not add a second payment just to make a balance look correct.
