Why this workflow matters

THE CLINIC MOMENT

Completed care can still disappear from the ledger.

Patient 024’s crown is delivered, one completed care item remains unbilled and a part-payment was noted outside the invoice. The clinic cannot trust the next reminder until the ledger is reconciled.

BEFORE

When an invoice, payment log and reminder list live apart, the front desk spends time reconciling before it can collect.

The next owner and source record are unclear.

CONNECTED

Create an invoice, share its secure link on WhatsApp, record partial payments and keep the remaining balance connected to the next collection task.

Open the record you need without searching for the patient again.

HOW IT WORKS

Carry care into invoice, part-payment, balance and action.

Follow the task from its first entry to the next person who needs it.

  1. 01

    Create the invoice

Review treatment-linked and authorised manual lines before the charge becomes the collection basis.

  2. 02

    Record payment

Preserve the payment ledger and current balance, including supported part-payment validation.

  3. 03

    Act in context

Surface eligible due work with a link back to the patient and invoice history.

ONE WORKFLOW · 4 CHECKPOINTS

Keep the ledger connected to the care that created it.

Completed care, invoice lines, part-payments and open balance remain inspectable before follow-up.

01 · Care

Start with treatment actually delivered.

Completed care and authorised manual charges stay distinguishable.

Invoice

Build the bill from the work the clinic recorded

Invoices can combine treatment-linked lines with manual lines, use a clinic-configured number format and render through a configurable billing template.

The workflow retains patient, clinic, date, amounts, notes and payment status rather than exporting an isolated total.

From invoice to patient

Send the bill on WhatsApp without losing its source

Review the invoice and use the supported document-sharing workflow to send its secure link through the clinic’s configured WhatsApp provider. The patient-facing bill keeps the clinic, invoice lines and amounts together.

Keep the sending attempt separate from the payment ledger. Sharing an invoice does not mark it paid; recorded payments determine the paid amount and remaining balance.

Review, share, reconcile

Review, share, reconcile

  1. 01Review the bill

Check the patient, treatment lines and invoice amount.

  2. 02Share the secure link

Check recipient eligibility and the supported WhatsApp template before sending.

  3. 03Record the payment

Retain the payment history and use the current balance before any follow-up.

Payments

Record partial collections without losing the balance

Payment entries include amount, mode, date, reference and notes. Validation prevents a payment from taking the invoice beyond its recorded amount.

Separate payment ledgers also exist for supported lab-work and expense workflows, with their own parent-balance checks.

Follow-up

Move overdue work into the same operating queue

Billing actions can surface due and overdue invoices and route staff back to the invoice. Configured communication workflows can prepare or send eligible reminders through available channels.

Permissions and workflow boundaries

ROLES & PERMISSIONS

Good reports cannot repair missing entries.

Billing, payment and report access should follow configured roles. A clinical record link does not automatically give every clinician finance permissions.

WHERE IT STOPS

What your team still decides.

No complete GST calculation, insurance processing, recovery rate or financial accuracy beyond correctly recorded data is claimed.

Plan your trial

TRIAL PLAN

Test payments, corrections and open balances.

Try these tasks with fictional patient details and the roles your team uses. Note any setup question or step that needs a different process.

  • Create treatment and manual invoice lines
  • Record a part-payment
  • Attempt an overpayment
  • Review correction and authorisation steps
  • Open an overdue action from its invoice

QUESTIONS TO ASK

The demonstrated workflow supports part-payments with balance validation.

Does Thirty2OS calculate every tax obligation?

No. The clinic and its adviser remain responsible for tax treatment and statutory accuracy.
